Job Description

1. Performs non-routine administrative and analytical tasks in one or more business support functions within the organization, including contracts, facilities planning, finance, logistics, property management, purchasing and/or security.

2. May perform tasks relative to the control of company and/or government property assigned to the organization.

3. May perform facilities planning activities, including coordinating the storage and movement of furniture, systems, and equipment.

4. May act as facility security officer to ensure compliance with company, customer and government security regulations and procedures.

5. May maintain financial databases, analyze data, and develop reports.

6. Participates in special projects as required.

General Duties:

  • Create Weekly Report, which includes the collection of upcoming event submissions from Program Managers and other staff, editing submissions and sending the final report to Deputy Director. 
  • Assist with market research and the conference/training packages for national training programs.  This includes doing the following:

o    Draft the Request for Proposal (RFP) for hotels.

o    Draft the Letter of Intent (LOI).

o    Receiving incoming proposals and inputting proposal details in an excel spreadsheet.

o    Light research to determine where the hotel is located in proximity to the local VA Regional office, dining, etc.

  • Update and maintain Ad-hoc Training Requests forms and Excel Tracking.
  • Create Excel tracking documents, PDF forms, Word fillable forms, etc. as requested.
  • Assist with the tracking of travel needs and changes, including travel dates, special accommodations, etc. to help ensure that hotel reservations are booked as requested.  Work with (Program Manager) PM and hotel POC to make changes as needed.
  • Create and/or print welcome packet materials and pack training supplies needed for shipment to the designated location.
  • Provides assistance with pre-event checklists, coordination and logistics in support of classroom management needs, tracks mailing shipment and confirmation of receipt of training supplies and materials, and other related activities.
  • Works in conjunction with Program Manager and designated federal government employee staffers to support the successful implementation of pre-training requirements to include but not limited to: printing, room layout, review of technology requirements, transportation needs, building and security access, coordination of guest speakers, mentors or other support staff travel needs to and from designated training location.
  • Work with onsite POC to have materials printed/copied, as well as assemble and distribute materials throughout the training week.
  • Conduct morning standup and evening wrap-up to provide information regarding logistics, agenda events, and materials to be distributed and/or collected.
  • Communicate with hotel POC to ensure all guests are accommodated as expected.
  • Organize meet & greet networking event.
  • Assist with time management during the day by monitoring the time, ensuring that instructors are aware of time remaining during each session and that sessions begin and end as scheduled.
  • Assist photographer, ensuring that participant/mentor head shots are photographed as planned.
  • Act as a POC for incoming speakers and instructors to help ensure they arrive to the training room as scheduled and know where to report upon arrival.
  • Help design and develop Standard Operating Procedure for various learning development processes, to include forms and check-lists to compliment the procedures.
